How to connect to a shared mailbox
There are 2 ways to connect to a shared mailbox:
- The web version of Outlook is best for occasional need to view the messages in that mailbox.
- If you would like to monitor it more frequently, then add that mailbox to the full Outlook desktop application.
How to connect to a shared mailbox through the web version of Outlook (for occasional use):

Log into the web interface of Outlook: http://portal.office.com/
- Format your username like: NetID@colostate.edu (Replace NetID with your CSU NetID)
- You’ll likely need to enter your CSU password and accept a DUO 2-factor prompt
- Click in the left pane to open Outlook
- Click on your picture/initials in the top right corner
- Click ‘Open another mailbox’
- Type in the display name of the shared mailbox, i.e., VPR Shared Mailbox (replace with the name of the mailbox)
How to connect to a shared mailbox in Outlook (for frequent use):
- Click on the File menu in the top left of Outlook.
- Click on the Account Settings button.
- Click on the Account Settings… option within the drop down menu.
- Under the E-mail tab, click New...
- Type in the email address of the shared mailbox. For example, if the shared mailbox name is: VPR Shared Mailbox, then the email address will be: VPR_Shared_Mailbox@colostate.edu (replace spaces with underscores).
- Click the Connect button.
- Wait while Outlook attempts to resolve the resource mailbox email address, this can take up to 5 minutes.
- If this step fails to find the shared mailbox, try again but format the email address like: VPR_Shared_Mailbox@mail.colostate.edu (add @mail. to it).
- When prompted for a password, click the ‘Sign in with another account’ text link.
- Delete the shared mailbox email address and type in your NetID@colostate.edu (Replace NetID with your CSU NetID).
- Click the Next button.
- Type in your NetID password.
- Click the Sign in button.
- When prompted for a password the second time, click the ‘Sign in with another account’ text link.
- Now your name and NetID should be displayed, click on it to pick that account.
- Wait for Outlook to add the shared mailbox account.
- Uncheck the ‘Set up Outlook Mobile on my phone, too’ box.
- Click the Done button.
- Click the Close button.
- Close Outlook, leave it closed for 10-15 seconds.
- Open Outlook, it will start setting up the new mailbox.
- Wait for Outlook to bring down a copy of the shared mailbox contents, it can take a couple of hours to sync the entire mailbox depending on how many messages are in it.
